Loyalty program for a chain of stores: shared customers, points and central management

A business with several stores has questions a single store never faces. Do customers' points count everywhere? Who sets the rules? Who sees what? This guide answers them one by one.

Two different questions: a shared chain and a shared balance

  • Chain: stores belong to the same network, with one app for customers and central management. Each store can still have its own program.
  • Shared points balance: customers earn and redeem points at any store. In 4Loyalty this is the Loyalty Pool.

A franchise chain with independent owners often wants the first without the second. An owner with 2–3 stores of their own usually wants both.

Shared customer, shared balance (Loyalty Pool)

With a Loyalty Pool, stores share the same rules and the same balance: a customer who earned points downtown can redeem them at the beach location. Customers see in the app that the reward is valid at every store in the network.

Central management

Chain management needs the full picture. In 4Loyalty, the admin panel has roles: a chain admin who sees every store in the network, and a store admin who sees only their own. Admins can protect their account with two-factor authentication (2FA).

Staff in each store

At each till, staff sign in with a personal PIN in staff mode: they see only scanning, redemptions and their own transactions, while campaigns, analytics and settings stay hidden. Every transaction is recorded under the staff member's name.

Central and local campaigns

  • Local: each store sends campaigns to its own customers — a local event, a Happy Hour.
  • Chain-wide: a store can also reach customers of other stores in the network, with a per-recipient fee. Ideal for opening a new store.

Analytics per store

Each store sees its own analytics — visit frequency, active customers, redemptions — so you can compare what works best and apply it elsewhere.

New stores

A new store joins the existing network without starting from zero: the chain's customers already see it in the app, and it can invite them with a campaign.

Your own app (white-label)

Chains that want their own name on the App Store and Google Play can have their own app on the same platform. When it's worth it: White-label apps: when they are worth it.

Moving from another program

If the chain already runs a loyalty program, customers and their balances can be migrated. See how to switch platforms without losing customers.

The common mistake

Separate, unconnected programs in each store confuse customers and you lose the overall picture. Decide from the start whether you want a shared balance and who manages what. For platform selection criteria, see the checklist.
