How to switch loyalty platforms without losing your customers
The biggest fear when switching loyalty programs is simple: will my customers lose what they've collected? If the move is done properly, no. This guide explains what moves over, what doesn't, and in what order.
What happens to your customers
Customers are migrated with their main identifier, usually their mobile number, plus name and email where available. The mobile number is what the customer will use to sign in to the new platform, so it needs to be correct and in international format.
What happens to points and stamps
Each customer's current balance moves over as an opening balance on the new platform. They carry on from where they left off. If the new program has different rules (e.g. a different reward threshold), agree a conversion so nobody loses out.
What happens to history
Usually the balance is migrated, not every past transaction. Keep the old transaction history exported in a file for your records. If your program has points expiry, agree when expiry starts counting for migrated balances.
Consent and GDPR
The business is responsible for its customers' data. Before handing data to a new provider, make sure you have a lawful basis for the transfer and a data processing agreement (DPA) with the new provider. On the new platform, customers must be able to see, export and delete their data. See GDPR and loyalty programs.
What to ask your current provider for
- A file (CSV or Excel) with each customer's mobile number, name, email and current balance.
- The transaction history, for your records.
- The program rules (points ratio, reward threshold, expiry).
- When the old platform stops working.
The move, step by step
- Export the data from the old platform.
- Clean it: duplicates, wrong numbers, empty emails.
- Test import and spot-check samples before the real one.
- Import into the new platform.
- Verify: compare customer and balance totals with the export.
- Tell your customers about the new app and what they need to do.
- Cut-over: stop awarding points on the old system the same day the new one starts.
Talking to your customers
A simple message is enough: "Our loyalty card is now digital. Your balance has been moved over — just sign in with your mobile number". Tell them clearly they don't lose anything. At the till, staff should be able to explain the change in one sentence.
How it works with 4Loyalty
4Loyalty supports migrating an existing customer base together with point or stamp balances. Our team does it, using a template file you fill in from your previous provider's export, with a test import before the real one. Customers sign in to the app with their mobile number and confirm with an SMS code; their balance is already there. For chains, see also the guide for chains of stores.
